  1. How to send a contact's information to someone who doesn't have ACT!

    Of course, the first thing you should do is to point out the error of their ways and direct them the the Big Blue Marketing web site to purchase a copy of  ACT! straight away.  However if you must proceed, here's what you can do.

    Go to the Contact Record of interest and click your mouse cursor in any field.
    Press Ctrl & C at the same time on your keyboard.
    Now open the email or document you want to put the address details in and press Ctrl & V at the same time.
    The basic address information is pasted into that application all in one go, like this.

  2. How to find a Contact using a word in the middle of a field.

    Let's say you want to find Big Blue Marketing in your ACT! database but you can't remember the name. However, you recall it has "Blue" in there somewhere.

    If you have ACT! V11 or older you have the benefit of the option to select "Contains" when you do a lookup. So, you would do a lookup in the Company field and select "Contains" in the middle drop-down, then type Blue in the third window.

    This will now find all the Contact records in your database that have the word  "Blue" somewhere in the Company name field.

    However, if you have an earlier version of ACT! you have a problem because you don't have the option to select  "Contains" when doing a lookup. Fortunately, there's a secret way of doing the lookup by using wildcards. Asterisks (*) don't work, but percentage signs do!  So you would do a lookup for %Blue% which again finds all the contacts with the word Blue in the company name somewhere.

    Another variation on the theme is to use the underscore, so a lookup for "B_g" would find companies with the words Big, Bag, Bog, Bug or Beg in the name.
  3. A Quick Way To Start A Lookup

    Most people do a lookup by clicking "Lookup" from the menu bar then either selecting an option on the drop-down list or clicking "Other Fields" to select one of the other fields not shown straight away.

    The quick way is to Right-Click in the field of interest. The option to Lookup that field then appears on the drop-down which saves a click or three.
  4. Show Me A Map

    Dit you know that the     act display map icon icon on the menu bar will display a street map of a Contact's location in Multimap providing you have a Postcode in the Postcode field and you have an internet link.

  5. Dial From ACT! Using Skype



    if you have Skype set up you can dial from ACT! without any additional software. 

    Create a new field called Skype. Make it a URL field with a default value of "callto://" (without the quotes). 

    Now when you enter a phone number copy and paste it into to the Skype filed after the callto:// bit, so the whole thing should look like this:

    callto://+44123456789

    Now providing Skype is already open, you can just click on the hyperlink and Skype will dial the number.
    It doesn't do anything fancy like automatically recording history, but it will make the call.

  6. Maximise the Tabs

    The "WebInfo" tab has an "Increase Tab Size" icon to expand the viewable area of the tab contents. Unfortunately, the other tabs don't have this icon.  HOWEVER, theres a HIDDEN FUNCTION that works in all the other tabs.

    Hover the mouse cursor over the join between the tabs and the top half of the screen until it turns into a splitter icon.

    Now double-click to maximise the tab! Repeat to minimise it.
